1. Overview & Scope
TradeON Technologies ("TradeON", "we", "us", or "our") is committed to protecting the privacy and security of all business partners, distributors, dealers, subdealers, retailers, and sales team members using the TradeON Enterprise SaaS Platform.
This Privacy Policy applies to all services, web applications, mobile interfaces, and backend systems operated under the TradeON platform. By accessing or using TradeON, you consent to the collection, storage, and processing practices described herein.
2. Information We Collect
To operate our B2B distribution and sales automation system, TradeON collects the following categories of information:
- User Profile & Account Data: Full name, official email address, mobile telephone number, user role (Super Admin, Admin, Employee, Dealer, Subdealer), and login credentials.
- Business & Hierarchy Information: Company or firm name, GSTIN/Tax ID, business address, assigned parent dealer/employee relationships, and credit line configurations.
- Commercial & Transactional Records: Purchase orders, invoices, payment transaction logs, ledger entries, product inventory records, and incentive scheme progress.
- TA/DA Expense Uploads: Travel claim entries, uploaded receipt images, claim amounts, transport modes, and approval histories.
- Device & Diagnostic Log Data: IP addresses, browser types, device identifiers, app version, connection status, and push notification tokens.
3. Location Data & Sales Executive Tracking
Notice for Field Employees & Executives (TA/DA Module)
When using the Traveling Allowance & Daily Allowance (TA/DA) feature, TradeON may request permission to record geolocation coordinates during active duty hours.
Location information is used strictly for:
- Verifying field visit locations and travel distance for TA/DA claim validation.
- Providing assigned dealers and administrators with route efficiency insights.
- Preventing fraudulent expense claims.
We do not track location data outside of designated work check-ins, nor do we sell location logs to any advertising network or third party.
4. How We Use Your Information
We utilize collected data solely for operating, maintaining, and improving the TradeON platform:
Order & Ledger Management
Processing orders, generating invoices, updating credit limits, and sync ledger entries between dealers and subdealers.
Real-Time Notifications
Sending web push and in-app alerts for order statuses, payment approvals, and TA/DA claim updates.
Analytics & Reporting
Providing admins with trade insights, target progress metrics, market trends, and inventory performance reports.
System Security & Compliance
Enforcing role-based access control, monitoring authorized access, and maintaining enterprise audit logs.
5. Multi-Tenant Data Security
TradeON is built on Google Cloud Firebase architecture. Multi-tenant data segregation is strictly enforced via document scoping and database security rules.
Each tenant's data (including orders, catalog prices, customer lists, and financial ledgers) is logically isolated so that users from one tenant organization cannot access or view data from another tenant organization.
6. Data Sharing & Third Parties
TradeON does not monetize or trade user data. We share data only under the following strictly defined conditions:
- Within Enterprise Hierarchy: Subdealer orders and ledgers are accessible to their designated parent Dealer and Tenant Administrator for fulfillment.
- Infrastructure Providers: Secure cloud infrastructure hosting provided by Google Cloud Platform / Firebase under standard enterprise security contracts.
- Legal Obligations: Compliance with applicable statutory requirements, court orders, or tax authorities under Indian Law.
8. User Rights & Data Retention
Users have the right to request access to their profile data, request corrections, or request account deactivation through their Tenant Administrator. Financial transaction logs and invoices are retained for mandatory statutory compliance periods under applicable accounting standards.
